Hi June,
I've received a letter on 10 March 2011 from Micheal Leung, complaining about our Exhibition Sound Systems 2011.
He said that our online registration failed and wasted him lots of time to register. He also complained that the venue was too crowded in the peak hour and he also couldn't get any leaflet.
How should I reply? I have no idea how to reply this complain.

Dear Ms Kong,
I have received a letter complaining about the exhibition Sound System 2011 from Mr. Micheal Leung on 10 March 2011. In his complaint, he was dissatisfied about three issues.
#1 Complaint about online registration
The first problem Mr. Leung was complaining about is the unworkable on-line registration facility. His application process could not be completed though the online registration after a few hours of trial and he finally finished the registration through fax.
After checking the system, the server was found to be overloaded. Because of the overloading situation, hundreds of clients could not register.
The IT department advised us to upgrade the server so that it can allow more visitors. Therefore I suggest that we should upgrade the internet server.
#2 Complaint about overcrowded venue
The second problem was about overcrowded venue during peak hour. He commented on our locations choice were not suitable for large exhibition. He was also concerned about the physical safety of attendees.
After investigation, we found out that this overcrowding situation only occur during the peak hours (i.e. 12:00-14:00 and 18:00-20:00) and in certainly popular booth only. Therefore I recommend that we should advise him and visitors in the future to visit the exhibition during non-peak hour.
#3 Complaint about quantity of leaflet
The third problem was about the limited quantity of leaflet available in the venue. He failed to get any leaflet on the interested products. We found out that some visitors were taking too many leaflets which cause the uneven distribution of leaflets.
I would recommend that we can assign some staff to hand out the leaflet in the future exhibition. In addition, I would also want to propose that we can upload the leaflets to our website for our visitors to download.
I would like to send a letter to Mr Leung and we will not provide free tickets of other exhibitions as compensation . Could you please approve my suggestions? I look forward hearing from you.

Regarding the online registration issue, we found out that the internet server was overloaded during your time of registration.
